Hr director

I am in the state of Louisiana and our non-profit company advertised for 12 positions. We received more than 350 applications and/or resumes. We would like to send letters to those applicants not interviewed and inform them that we will keep their information on file for one year. Need some specific wording for the letter, but do not want to obligate our company to the applicants in any kind of way.
