SS#'s & Date of birth

Ok...my day is just going downhill... We are implementing a new time clock system. Within this system each manager has access to their teams employees time (clocking in/out) as well as having access to a tab that states "Human Resources". Within this screen the manager can see the employee's marital status, ss# & DOB. I feel that manager's should not have access to this infomation. But I have been "scolded" by one of the executives that think HR is on a power trip and sees no big deal with allowing managers to view this info.

Am I off base? Any guidance on how I can calmly explain this would be helpful.

Based on your post I can't see where that information is of any use to the managers. If they don't need it to perform their jobs, they should not have access to it. You're not off base. Each individual who uses a specific program here has limited access to information. For certain people, a field such as someone's hourly pay rate will state "Hidden". Others may view that info but don't need or have access to training info. Access to information should be tailored to fit the manager's needs.

I protect my managers by not allowing them to access this information.

Most sound advise I have seen on the forum for several years. A "need to know" is strong protection for the management chain. If they have a need to know the birthdate of the department personnel then publish it for them, if they do not have the SSN they can not be accused of any wrong doings. The HR arena is filled with land mines ready for the "easy and ego'ed" management to do something wrong with the information.

Identity theft happens quite often, not saying that your supervisors aren't honest people, but why give someone carte blanche to this information? All that is needed is a name, SS#, and DOB, for someone to open up credit card accounts, etc. in someone else's name. This happened in the company my friend works for and several people had their identities stolen. Not a good idea to publish this information unless it is absolutely needed by the supervisors, which I don't think it would be.

This may not be applicable, but I once had a Superivsor that would occasionally say, "Don't put the candy out on the table and then tell them they can't have any."
I agree with the others, why give anyone access to such confidential information if they don't need it to accomplish their duties.

Thank you! I justed needed to vent... I will talk with him tomorrow - he is in a bad mood and I think I was just his emotional scape goat. (it's unacceptable - but I will live)

I feel your pain. Our CEO is a FABULOUS person. He's caring and intelligent and all the things one wants in a boss... and on the RARE occassions when he loses his temper, it's always in my office!

I guess HR is the all around 'listening agent' in the company... even for top brass.

If the managers have to reasonable need for the information then allowing them to have it only opens doors for allegations of misuse of the information such as a basis for age discrimination.

Agree with others - absolutely no need for this information to be available to managers. As stated, with ID theft, having it available, could cause a large problem.

Happy Friday! Well...Mr. Outburst came into my office the other day and apologized for his actions. He did agree with me that this information should not be provided to anyone. I'm back to being his favorite HR Manager... x:D
