Quick question...is it alright to have an ee's contribution benefit sumary in their personel file? I don't see a problem, but I am being told that it needs to be kept seperate. A yes or no will do wonderfully! As always. thank you for your time and have a great day.

We keep four files for each employee. It's really not that difficult. Use a deep tabbed file folder for each employee. In that folder is their personnel file folder that has all work related information like application, job description, performance evals, etc. Next is a manila folder with a green tab (green marker works well). This hold all the time and money papers - attendance sheets, requests for payroll deductions, W-4's. A red tabbed file has all benefits enrollment forms, doctor's slips, pension info, etc (where I'd file the contribution benefit summary). We also do a yellow folder for education. Not all employees have these, but it makes it easy to see who is continuing job related classes. When the boss wants to see the Personnel File, that's all he gets.

We keep 2 folders for each employee. One for medical in a separate cabinet. And the other file contains everything else including contribution deduction information.

Our company had a file maintenance policy which consists of 5 manila folders inside a hanging folder. Those files are labled as Personnel, Medical/Benefits, Payroll, Miscellaneous and DOT (Department of Transportation -if applicapable.
